Money changed hands; now somebody needs it on paper. The tenant paying cash wants proof, the client who paid a deposit wants it acknowledged, the buyer of your old camera wants something for their records, and bookkeeping on both sides wants a document with a date, an amount and a method. A receipt is the smallest business document there is, and this tool produces a proper one in about a minute.

It runs on the same engine as our invoice and quote tools, so your details and logo are already in place, and the receipt-specific fields are exactly two: the payment date and the payment method, cash, transfer, card, whichever. The notes line handles the balance-remaining case that deposits create, which is the sentence most improvised receipts forget and most disputes later hinge on.

How to use

  1. Your business or personal details load from the shared saved block; adjust if needed.
  2. Enter who paid, the receipt number, the date and the payment method.
  3. Describe what was paid for as line items; one line is often enough.
  4. Add tax only if the receipt needs to show it; otherwise leave it at zero.
  5. Use the notes line for what remains owing, if anything: 'balance of 500 due on delivery'.
  6. Download the PDF, send one copy, keep one.

Why use our receipt maker?

Cash is the reason this tool exists: transfers and cards document themselves, cash documents nothing, and the receipt is the only record either side will ever have. Rent paid in cash, market sales, second-hand deals, deposits in trades where cash is customary: all of them need the date-amount-method triangle on paper with both parties named, and improvising it in a text message is how 'I already paid you' arguments are born. A numbered PDF with your details printed settles the matter before it becomes one.

The balance-remaining note is the professional touch that costs nothing here: a deposit receipt that states what remains and when converts a vague arrangement into a schedule, and the client who signed off on that receipt has agreed to the schedule without a single awkward conversation. The engine's privacy carries over as always, which for receipts means your cash flow is not a template site's analytics. The invoice generator requests the money this document confirms, and the credit note generator handles the day some of it goes back.

The numbering habit turns receipts from favours into records: a sequential series with dates is a cash ledger assembled one document at a time, and at tax season the difference between a shoebox of memories and a folder of numbered PDFs is measured in accountant hours you pay for. The tool numbers by default because the habit should not depend on remembering to have it.

Who is this tool for?

Landlords issuing rent receipts, legally required in some places and simply wise everywhere cash is involved, produce a numbered monthly trail in minutes. Freelancers acknowledge deposits with balance terms attached, quietly locking the payment schedule. Sellers of second-hand goods give buyers the proof of purchase that makes both sides comfortable in person-to-person deals.

Small services, tutors, cleaners and repair trades hand clients something bookkeepers accept at tax time. And anyone reimbursed in cash by an employer or a friend for a group purchase closes the loop with a document instead of a memory.

Frequently asked questions

Is a receipt from this tool valid?

A receipt's validity comes from what it records: who paid whom, how much, when, by what method, for what. This produces exactly that as a clean numbered PDF. For tax-regulated retail receipts, some countries require registered systems; for ordinary proof of payment between parties, this is the standard form.

What is the difference between an invoice and a receipt?

Direction of time: an invoice requests payment that has not happened; a receipt confirms payment that has. A deposit often produces both: an invoice for the total, then a receipt for the deposit with the balance noted.

How do I write a rent receipt?

Landlord details as sender, tenant as payer, the month as the line item, the amount, the date and the method, plus a running receipt number. Issue one per payment and both sides keep a trail; the tool numbers them for you.

Do I add tax on a receipt?

Only if the underlying sale is taxed and the receipt is documenting the tax: then it shows the same split as the invoice. Pure proof-of-payment receipts, rent between individuals for example, usually show only the amount.

Can I make one for a partial payment?

Yes, and the balance note is the point: state the amount received and what remains with its due date. The next payment gets its own numbered receipt, and the trail tells the whole story.

Is anything uploaded?

No. The PDF is built in your browser; the transaction stays between you, the payer, and the copies you both keep.

Should I keep copies of receipts I issue?

Always: your copy is your record of income received, and the sequence's integrity depends on keeping every number. A folder per year of the PDFs, named by number, is bookkeeping enough for most small operations.
